This Privacy Policy is issued by Ramon Labs, Inc., a Delaware corporation ("Ramon Labs", "we", "us", or "our") for the Maple service. It applies to all users of Maple โ€” people who create an account either by explicitly signing up or by connecting their calendar. Both are treated as account creation and this policy applies from that moment.

Our Commitment to You

  • We are committed to never selling your personal data or sharing it beyond what is strictly necessary to operate Maple and provide the service.
  • We aim to design our systems and processes to protect your data and minimize harm.
  • We are committed to making every reasonable effort to keep your information secure.
  • We genuinely value you as a user and are building this product to serve you โ€” your trust is the foundation of everything we do.
  • We will endeavour to engage with you honestly and transparently about how the product works and how your data is used.

By signing up for and using Maple, you are acknowledging the following

  • Maple is an early-stage product in active development, not a finished production service.
  • The service may crash, lose data, behave unexpectedly, or be taken offline without notice.
  • Your data may be lost, reset, or become inaccessible at any time.
  • Ramon Labs will make reasonable efforts to protect your data, but the risk of bugs, data loss, or a security incident is higher than in a mature production service.
  • By using Maple, you acknowledge these risks and agree to hold Ramon Labs and its developers harmless for any consequences, except where caused by fraud or intentional malicious conduct.

1. Who We Are and Our Role

Maple is operated by Ramon Labs, Inc., a Delaware corporation, building AI-powered personal assistant tools. Maple is currently in active development.

Ramon Labs acts as a data controller in respect of the personal data it collects and processes in connection with your use of Maple, including data processed via connected third-party services such as reading your calendar or sending messages through a connected platform. Ramon Labs determines the purposes and means of such processing and is responsible for it accordingly.

If you access Maple through an account provisioned by your employer or an organization on your behalf, that organization may act as a data controller in respect of your use of the service, and Ramon Labs may act as a data processor operating on that organization's instructions to the extent set out in a separate data processing agreement with that organization. In the absence of such an agreement, these Terms and this Privacy Policy govern.

2. Who This Policy Applies To

This policy applies to anyone who creates a Maple account โ€” either by explicitly signing up, or by connecting their calendar. From that moment, you are a Maple user and this policy governs how we handle your data.

It covers all current features and all future features. As the service grows, the categories of data we collect may expand. We will update this policy and notify you when that happens.

3. Legal Basis for Processing (GDPR)

For users in the European Economic Area, the United Kingdom, and other jurisdictions with similar requirements, we rely on the following legal bases to process your personal data:

  • Contract performance โ€” processing necessary to provide the Maple service you have signed up for, including scheduling, calendar management, and any features you activate
  • Legitimate interests โ€” processing necessary for our legitimate business interests, including improving the service, preventing abuse, and ensuring security, where those interests are not overridden by your rights
  • Consent โ€” where we process data for purposes beyond service delivery (such as using your interactions to improve the product during this beta phase), we rely on your consent, which you provide by accepting these terms and using the service
  • Legal obligation โ€” processing required to comply with applicable law

4. Data We Collect

Maple is a personal assistant that connects to your calendar, contacts, communications, and tasks. We collect data from any source or channel you connect to Maple, and any information you share with Maple directly. The specific sources may vary โ€” Google Calendar, Outlook, iCloud, WhatsApp, Signal, iMessage, SMS, Gmail, Slack, Teams, or any other service you choose to connect โ€” but the principles governing how we handle that data are consistent across all of them:

4.1 Identity and Account Information

  • Name and email address from your sign-in provider
  • Profile photo, if provided
  • Phone number, if provided
  • Any other identifying information you choose to share

4.2 Calendar and Scheduling Data

  • Calendar event metadata: titles, times, attendees, locations, busy/free status
  • Calendar lists and the names of all connected calendars
  • Scheduling preferences, availability patterns, and rules you define

4.3 Contacts and Connections

  • Names, email addresses, and phone numbers from any contacts source you connect
  • Relationship patterns inferred from your data over time

4.4 Communications and Messages

  • Messages you exchange with Maple to schedule meetings, set tasks, configure preferences, or take any action
  • Metadata from any messaging or communication channel you connect: sender, timestamp, subject
  • Message content from connected channels, to the extent required to perform actions you have authorized

Maple generally does not store the underlying content of your communications beyond what is necessary to complete the action you have requested. As an early-stage product, Maple processes message content automatically (via AI) and may be reviewed manually by our team for the sole purpose of improving the product and your experience. Your interactions on the platform help improve Maple for you and for all users. We do not access message content for any commercial purpose unrelated to operating and improving the service. By using Maple and providing access permissions to your third party communication platforms, you consent to this limited processing of communication content as described.

4.5 Tasks, Reminders, and Automations

  • Tasks, to-do items, reminders, and their associated due dates, priorities, and statuses
  • Automation rules and jobs you configure, including their triggers, actions, and execution logs

4.6 Actions Taken on Your Behalf

A log of every action taken by Maple on your behalf: what was done, when, and based on which instruction or rule. This audit log is append-only and retained to give you full visibility over what Maple has done.

4.7 Location and Geography

  • Location names and addresses associated with your meetings and events
  • Saved nicknames for places you use frequently
  • We do not collect real-time GPS location

4.8 Learned Preferences

Patterns inferred from your behavior across any connected source. Explicit preferences and rules you set by conversation or in settings. This preference data is the core of what makes Maple useful over time and is retained for as long as your account is active.

4.9 Cookies and Session Tracking

Session cookies and tokens used to keep you logged in and maintain your session state. Analytics data used to understand how the product is being used and to improve the user experience. We use cookies and session tracking solely for the purpose of operating and improving the product and user experience. We do not use them for advertising or to track you across third-party websites.

4.10 Technical and Usage Data

  • IP address, browser type, and device type
  • Timestamps and error logs used to operate and debug the service

4.11 Personal Data of Third Parties

When you connect third-party accounts to Maple โ€” including calendars, contacts, and messaging platforms โ€” Maple will collect and process personal data relating to other individuals, such as the names, email addresses, phone numbers, and scheduling information of your contacts, meeting attendees, and message correspondents. These individuals have not directly interacted with Maple or accepted this Privacy Policy. By connecting such accounts and using Maple's features, you represent that you have the authority, consent, or other lawful basis to share those individuals' personal data with Maple for the purposes described in this Policy. You are responsible for ensuring that your use of Maple in relation to third-party personal data complies with applicable law.

You should refrain from sharing sensitive personal data with Maple. Ramon Labs does not knowingly collect, process, or retain sensitive personal data, as that term is defined under the laws applicable to you, including without limitation special categories of personal data under the GDPR, Protected Health Information under HIPAA, payment card information, biometric data, or any other category of data subject to heightened protection under applicable law. If you nevertheless submit sensitive personal data, you do so at your own risk and Ramon Labs assumes no responsibility or liability in connection with such data.

5. How We Use Your Data

5.1 To Provide the Service

  • Schedule, confirm, reschedule, and cancel meetings
  • Check your availability across all connected calendars and sources
  • Send calendar invitations and confirmations on your behalf
  • Execute tasks, reminders, and automations you have configured
  • Take any action on your behalf that you have authorized

5.2 To Learn Your Preferences

  • Build a preference model so that Maple gets better at representing you over time
  • Apply learned patterns as defaults that you can always override
  • Store explicit rules you define and apply them reliably

5.3 To Operate and Improve the Service

  • Debug errors, fix problems, and maintain system stability
  • Review interactions to improve product quality and user experience during the beta phase

We do not use your personal data to train third-party AI models, and we do not train our own AI models on your data. Data processed through our AI provider is handled under an agreement that prohibits training use.

5.4 To Communicate With You

  • Scheduling confirmations, updates, and notifications
  • Reminders and task alerts you have configured
  • Product updates and changes to this policy

6. Who We Share Data With

We do not sell your data. We do not share it for advertising, marketing, or any commercial purpose unrelated to operating Maple and providing the service.

We share your data only with software platforms and service providers that are necessary to run Maple โ€” for example, the providers behind the calendars, contacts, and communication tools you connect, the AI provider that powers Maple's intelligence, and the infrastructure providers that host and operate our systems. The specific providers we use may change as the service evolves. What will not change is the principle: your data is shared only with providers necessary to operate the service, and only for that purpose.

When you connect a third-party service โ€” whether a calendar, messaging platform, task tool, or anything else โ€” data relevant to that integration is shared with that provider solely to operate the feature. Each integration requires your explicit authorization before it is activated.

We may share your data with Ramon Labs' affiliates and subsidiaries, where necessary to operate or improve the service, subject to the same data protection commitments set out in this Privacy Policy.

In the event of a merger, acquisition, reorganization, sale of assets, or change of control involving Ramon Labs, your personal data may be transferred to the successor entity as part of that transaction. We will notify you of any such transfer and any material change to this Privacy Policy that results from it. The successor entity will be required to honor the commitments made in this Privacy Policy or provide you with advance notice of any changes.

We may disclose data if required by law, court order, or to protect the safety or rights of users or third parties โ€” and only to the minimum extent required.

7. International Data Transfers

Ramon Labs operates in the United States and serves users globally, including in the European Economic Area. Your data may be stored and processed in the United States or in other jurisdictions where our service providers operate. These jurisdictions may have data protection laws that differ from those in your country.

Where we transfer personal data from the EEA or UK to countries not recognized as providing an adequate level of protection, we take steps to ensure appropriate safeguards are in place, such as standard contractual clauses or other lawful transfer mechanisms. 8. Data Retention

Your data is retained for as long as your account is active. When you close your account, your personal data will be deleted. Logs, audit records, and residual system artifacts may be retained for longer periods โ€” up to 24 months โ€” for debugging, dispute resolution, and legal compliance purposes. During the beta phase, Maple is not a production-grade system and data retention practices may be less predictable than in a mature service.

Because Maple is an early-stage product, data may also be lost or reset due to development activity or system failures. We cannot guarantee data continuity during this phase.

9. Security

  • Credentials and access tokens stored encrypted
  • All data transmitted over TLS (HTTPS)
  • Access to production data restricted and logged
  • Least-privilege access: we request only the permissions each feature requires

Maple is an early-stage product and security risks are higher than in a mature service. We apply security measures that we consider reasonable and appropriate given the current stage of the service, but we cannot guarantee the security of your data.

10. Data Breach Notification

In the event of a data breach that is likely to result in risk to your rights or freedoms, we are committed to notifying affected users without undue delay. Notification will be made by email to the address associated with your account. We will describe the nature of the breach, the data affected, the steps we are taking, and what you can do to protect yourself. Given that this is an early-stage product, the risk of a breach is higher than in a mature service, and we ask that you factor this into your use of Maple.

11. Your Rights

Depending on the laws applicable in your place of residence, you may have some or all of the following rights with respect to your personal data. Not all rights apply in all jurisdictions, and the scope and conditions of each right may vary. To exercise any of them, send an email to contact@usemaple.app and we will respond promptly.

  • Access โ€” request a copy of the personal data we hold about you
  • Correction โ€” ask us to correct inaccurate or incomplete data
  • Deletion โ€” request that your account and all associated personal data be deleted
  • Portability โ€” request your data in a structured, commonly used, machine-readable format
  • Restriction โ€” ask us to restrict processing of your data in certain circumstances
  • Objection โ€” object to our processing of your data where we rely on legitimate interests as the legal basis
  • Withdrawal of consent โ€” where we rely on consent as the legal basis for processing, you may withdraw it at any time without affecting the lawfulness of processing before withdrawal.

We will respond to all requests within 30 days or such shorter period as required by applicable law. Note that during the beta phase, some of these capabilities may not yet be fully automated โ€” we will handle them manually and make every reasonable effort to fulfill your request within the required timeframe.

12. Children

Maple is not intended for users under the age of 16. By creating an account, you represent that you are at least 16 years old. We do not knowingly collect personal data from anyone under the age of 16. If we become aware that a user under 16 has provided us with personal data, we will take prompt steps to delete that data. 13. Changes to This Policy

We will notify you of material changes by email or in-app notice before they take effect. Continued use after the effective date constitutes acceptance.
